1. Evaluation Schedule
The schedule is now posted. Scheduling of evaluation appointments was based on:
- Evaluation dates in Course Outline
- Your regular Class Schedule
- Availability of Advisors
The schedule will be considered final except in cases where:
1. Two teams (with the same advisor, reader and evaluator) agree to exchange appointments. Both teams should approach their Advisor to record the change before noon Friday week 13.
2. A student has a serious, documented conflict with the assigned evaluation appointment time (e.g. airline ticket, job interview, marriage). Please see your Advisor to discuss possible alternate arrangements.
2. Appointments
Evaluation appointments are scheduled one hour apart, starting on the hour, with each appointment subdivided into these parts:

**Note: this schedule is designed for projects with a product emphasis. If your project does not fit this model, discuss possible alternatives with your advisor by noon Friday week 13.
3. Evaluation Committee
The Evaluation Committee will be composed of three faculty members: your 3rd Semester (2nd half) Advisor, a Reader, and an Evaluator. All three will evaluate your Final Presentation and Demo & Diagnostic, the Advisor and Reader will evaluate your Final Report and the advisor alone will evaluate your Open House Presentation. Your Advisor will also check your Project Archive and will provide comments on your report, presentation, and project. Note that your final mark will be provided only on your official transcript.
4. Evaluation Components
As explained in the course outline, your project mark will be based on the following components. "Advisor" (in the Evaluators column) refers to your 3rd Semester (2nd half) Project Advisor unless otherwise specified.

5. Location & Resources
All evaluations will be conducted in the alcove in room 339. Two or three computers on the Geomatics network will be available (i.e. your H: drive will be accessible, as well as the Geomatics servers).
Have all the data you intend to use during your presentation ready in a separate folder on your H:\ drive or on a server. It may be a good idea to have a set of screen shots ready to avoid extended delays due to processing or loading or as a backup in case the software does not cooperate.
6. Project Submission
Project Report: Please submit your report to your Advisor by noon Friday of week 13. Late submissions (25% penalty) will be accepted in room 225, or directly to your advisor, up until 3:00pm Friday week 13. All submissions after 3:00pm Friday of week 13 will receive a 50% penalty. A second copy of your report must be provided to the Reader at the same time or earlier; however, if this is not possible, please give the second copy to your Advisor who will place it in the Reader's mailslot.
Note: several sample reports from previous years are available for your perusal, and an evaluation scheme is also available. You do not need to submit your final project with your report.
Project Plots: The evaluated copy of your final project hardcopy will be retained by the college. You will receive a print credit to plot another for yourself, if applicable. You may also be asked to plot additional copies of your project for competition or promotional purposes.
Geomatics Logo : The Geomatics @ Fleming logo must appear on all projects, with or without the accompanying URL. Various sizes and formats are available in Karen’s /Students/Coop/Logo folder. Note that Encapsulated Postscript (.eps) files are equivalent to AI files. The department reserves the right to request that the logo be removed from a project of sub-standard quality that will be distributed or publicly displayed.
7. Open House Preparation
Screen Shots: Create two or more screen shots of your project to be included in a repeating slideshow during the open house. These images may also be used in college promotional materials. Please save as JPG or PNG files and include your Project Number and a short caption in the file names for these images (e.g. "P264 Geomatics Community output displayed on Google Earth.png"). Copy these images to Karen's Students/Coop/OpenHouseSlides folder by Friday, week 14 at noon.
Project Summary and Resumes: Please prepare a one page summary of your project, including project number, title, client, student names, and advisor names. Also prepare a one or two page resume for each team member. Submit this in final hard-copy form to Ian Cable by Friday, week 14, at noon for inclusion in the "Fleming 2007 GIS Projects and Graduates" booklet for distribution to Open House guests.
Display Board: A display board for each team may be obtained from Sue Mantle or Kevin Rabjohn. You can post visuals related to your project on these boards for display during the Open House.
Client Invitation: Although all industry contacts in southern Ontario have been sent an invitation to the Open House, each team should also be sure to explicitly invite their client to view their project (and other projects) at the Open House. The team is also responsible for providing a copy of the final report to their client after their advisor has indicated whether revisions are necessary.
8. Project Archive
Please create a CD or DVD of your project so that it can be easily catalogued and archived by Geomatics staff. Please label your CD/DVD with your project number and date of creation. Create a separate root-level folder for each of the five components below and copy the required files to each folder. Create sub-folders if needed within these folders to better organize your files. The organization of this CD/DVD will be evaluated as part of your final project. Please submit this CD/DVD to your Advisor during the Open House.
Project: Copy all essential project and code files to this folder, i.e. those files required to install, run, and/or plot your project so that it can be used for exhibits by the college and possibly submitted to competitions on your behalf. Do not include any backup or redundant files.
Data: Copy all essential data files, as feasible, to this folder. Use subfolders as necessary to organize your data. If the required data can not be copied due to size, ownership, or other restrictions, please include a full metadata listing of all data used (in a file named metadata.doc) and include a data sample where possible.
Docs: Please also include the following documentation files: (1) a readme.doc file with instructions to install, run, and/or plot your project, (2) a digital copy of your final proposal, (3) a digital copy of your final report, (4) any powerpoint presentation or other digital presentation material, and (5) the screen shots created above.
PDF: if your final product includes a hardcopy map, please also include a PDF version of your final project. Create your PDF by printing your project to a PDF writer such as using Adobe Distiller or CutePDF; the latter is freeware that is available on the Geomatics computers.
Web: if your final product includes a website, please include all files required to recreate your web site.
